Occitanie Region

On the occasion of the merger of the former Languedoc-Roussillon and Midi-Pyrénées regions, the new Occitan Region has redesigned their information system, including document management.

As part of this IS redesign, the Region has chosen the GoFAST Collaborative DMS platform to centralize, secure and manage all of their working documents in a cross-functional way.

MAIN OBJECTIVES OF THE PROJECT ARE TO :

• Find a platform that unites the documentary warehouses of two former regions, now united (the ISs of Toulouse and Montpellier),
• Replace file servers by gradually migrating entire sections of document databases to Collaborative DMS,
• Promote cross-functional and collaborative work to gain efficiency,
• Offer an alternative to SharePoint / Office365, as well as to the Alfresco-based DMS used by one of the headquarters,
• Better control both the IT budget and its IS with OnPremise / Dedicated hosting and a solution that can be audited,
• Be able to deploy the solution to all participants in the Region (nearly 3,000 users) and their partners (more than 1,000 external users to date),
• If possible, choose an Open Source and sovereign solution (See USA Cloud Act),
• Save time in document management (search, sharing, activity monitoring, etc.) and reduce the number of errors (versions, duplicates, overwritten or deleted files, etc.)

DIGITAL TRANSFORMATION USING SOVEREIGN AND OPEN SOURCE SOLUTION :

• This project is a telling example of how to rethink your IS and working methods to move towards more collaboration while raising the level of security for your data.
• Management of secure access rights to content, which can be dedicated to business managers (GDPR),
• Collaborative work, including the co-editing of Office files and the possibility of centralizing and securing exchanges to reduce emails and no longer send attachments,
• Secure access to documents and all functions via a simple web browser (mobility, telecommuting, security),
• The establishment of a Knowledge Base shared between all participants,
• Content activity notifications and related exchanges.

The choice of the GoFAST Collaborative DMS platform allows the Occitanie region to avoid the deployment of certain proprietary and / or "GAFAM" solutions, thus protecting you from the Cloud Act and the pricing policies of major software publishers.

The fact of working with a sovereign software publisher provides important advantages: proximity, better understanding of business issues, and consistency with political discourse for the promotion of French startups, small and medium-sized companies rather than GAFAMs, and control of your data.
