Workflows on GoFAST

Imagine a world where we no longer send each other e-mails with attachments to proofread, correct or validate an important document, where the players and deadlines are defined, and where the final document is even signed electronically.

This is what GoFAST workflows make possible: the dematerialization of your processes, coupled with one of the most powerful collaborative and DMS platforms on the market.

GoFAST workflows are based on the BonitaSoft open-source engine, renowned for its robustness in business process management.

Workflows in GoFAST are extremely flexible, making it possible to manage different collaborative stages, involving several players in each phase of the process. A workflow can be started on one or several documents.

The user has a very simple view of the tasks to be performed, as shown in the screenshot:

Here is a summary of the possibilities offered by the standard workflow delivered with GoFAST:

1. Working stage (1st step) :

· Actors: This step lets you add several contributors, who can act as :
· Active contributors: These users can modify or co-edit the document.
· Actors for information: They are simply informed, but do not participate directly in modifying the document.
· Actors for comment: They can add annotations and remarks without modifying the document.

2. Validation stage (2nd step) :
· Sequential or parallel validation: It is possible to define the actors who will validate the document:
· Sequentially: Each validator must approve the document in a defined order.
· Parallel: All validators are called upon at the same time, and their validation is independent.
· Number of actors: One or more users can be added at this stage, with specific roles as required.


3. Signing stage (3rd step) :
· This step works in the same way as the validation step, allowing sequential or parallel signature by designated actors.
· It is also possible to integrate electronic signature gateways (e.g. Yousign, i-Parapheur) to guarantee legal compliance of signatures, notably eiDAS.
Here's an updated version of the additional workflow functionalities in GoFAST, taking into account pre-parameterized templates and BPMN-standardized custom workflows


Additional features :

- Pre-configured workflow templates: GoFAST lets you create workflow templates in which all steps, actors and parameters are pre-configured. This saves time by using standardized recurring processes, where users simply select the template to launch the workflow.
- Automatic conversion to PDF: After the work and validation stages, documents can be automatically converted to PDF before signing, ensuring a locked, fixed version of the document.
- Sequentiality and parallelism of actors: For the validation and signature stages, it is possible to configure a sequential validation or signature process (where each actor must validate in a precise order) or parallel (where all actors validate simultaneously).
- Document stamping : During the signature stage, PDF documents can be stamped with a time-stamped mark, reinforcing the document's visual validation.
- BPMN-compliant custom workflows: GoFAST enables the creation of custom workflows in line with the BPMN (Business Process Model and Notation) standard. This gives you the flexibility to model complex processes tailored to the specific needs of your organization.
These features enable users to standardize their processes while offering the flexibility to customize workflows according to their specific needs, while ensuring complete traceability and automation of key document management actions.
